Payment & Cancellation
Payment Terms
When do I need to pay my rent?
You must pay your rent on the dates set out in your Payment Schedule. Payments must reach the account by the due date, and you are responsible for ensuring payment is made on time and in full.
Can I pay my rent in instalments or in advance?
Rent must be paid according to your Payment Schedule. The landlord may, at their discretion, agree to accept up to 6 weeks’ rent in advance where a student is waiting for their Student Finance Loan. After the initial 6 weeks, the remaining rent becomes immediately due.
What happens if my rent payment is late?
If your rent or any other amount due is paid late, interest will be charged at 3% per annum above the base rate of National Westminster Bank plc. Interest is calculated on a daily basis and compounded monthly until the outstanding amount is paid in full (both before and after any court judgment).
Are there any other consequences for late payment?
Yes. If your account is in arrears, the landlord may:
- Remove any promotional discounts linked to your tenancy
- Temporarily suspend internet access and charge reconnection costs
- Refer your account to a debt collection agency and charge all reasonable recovery costs
- Enter the Flat Common Areas to discuss arrears with you
Can someone else pay my rent for me?
Yes. Anyone making payments on your behalf is considered to be acting as your agent. However, you remain fully responsible for ensuring all payments are made correctly and on time.
Will I get payment reminders?
No. It is your responsibility to ensure payments are made on time and in the correct amount. The landlord is not required to send reminders about payment due dates.
What if I lose my keys or get locked out?
You will be required to pay all reasonable costs associated with replacing lost, mislaid, or stolen keys, fobs, or key cards. If you are locked out, you will also be charged any reasonable costs for being let back into the property, including attendance by out-of-hours staff if required.
Cancellation Policy
Can I cancel my booking before I collect the keys?
Yes. If you have not collected your keys, you may be eligible to cancel your booking without penalty up to 31 March 2025.
Can I cancel after accepting my offer but before moving in?
From 1 April 2025 onwards, and provided you have not collected your keys, you may cancel your booking within 7 calendar days of accepting your offer online.
Cancellation requests must be submitted within this period.
If you cancel within the 7-day cooling-off period:
- No cancellation charges will apply
- Any advance payments may be retained in accordance with the tenancy agreement
What happens if I cancel after the 7-day cooling-off period?
Once the 7-day cooling-off period has expired, you will generally remain liable for all rent and charges due under your Tenancy Agreement unless a suitable replacement tenant is found for your room, subject to approval by the accommodation provider.
What if a replacement tenant is found for my room?
If a suitable replacement tenant is found:
- Before your tenancy start date: You will be released from your Tenancy Agreement after the replacement tenant’s 7-day cooling-off period has expired, they have signed the tenancy agreement, and they have paid the required advance rent.
- After your tenancy has started: You will be released 7 days after the replacement tenant has signed their tenancy agreement or from the date they move into the room, whichever occurs first.
If you have occupied the room prior to the replacement tenant taking over, a £50 administration fee will apply to cover the cost of preparing the room.
What happens if I cancel after 14 August 2025?
After 14 August 2025, cancellation requests must be submitted through Casita and will be processed under the standard cancellation procedure in accordance with the accommodation provider’s tenancy terms.
You may remain liable for rent unless a suitable replacement tenant is found, as set out in your agreement.
What is the “No Place, No Pay” policy?
This policy applies only to first-year undergraduate and postgraduate students.
You may be eligible to cancel your booking if:
- Your university or college withdraws your offer because you did not achieve the required entry grades, or
- You choose to attend a different university after exceeding your expected grades (UCAS Adjustment)
What evidence do I need for “No Place, No Pay”?
To be considered, you must provide one of the following:
- A written rejection letter from your university, college, or UCAS
- A screenshot of your UCAS status confirming that the required results were not achieved
- Proof of acceptance at a new university via UCAS Adjustment
All documentation must be submitted through Casita within 48 hours from the date results are published.
What happens after I submit a “No Place, No Pay” request?
All documents will be reviewed and verified by the accommodation provider.
If your request is approved:
- Your tenancy agreement will be cancelled
- Any advance rent payments may be retained in accordance with the tenancy agreement
What is the visa cancellation policy?
If your UK visa application is refused and you are unable to enter the UK to begin your studies, you may cancel your booking.
You must provide official evidence of the visa refusal within 48 hours of the visa refusal letter or correspondence date, submitted through Casita’s cancellation process.
Once verified:
- Your tenancy agreement will be cancelled
- Any advance payments may be retained in accordance with the tenancy agreement
