What costs are required to confirm a booking?
A security deposit equal to four weeks of rent is required. Additionally, depending on the village, one-off fees for applications, cleaning, or resident activities may be charged.
How is rent collected?
Rent is automatically debited from a nominated account on a recurring basis. Residents can manage these payments, view statements, and update banking information through the CLV App.
Can rent be paid in advance?
Yes. Residents may choose to prepay for a semester or the full year before the contract begins. Individual fortnightly payments can also be made early; if the account is in credit, the automatic debit will not occur.
How often is rent charged?
The standard cycle is fortnightly, though Student Village Melbourne operates on a monthly cycle. While most payments are for a set amount, the first and final payments of the contract may differ.
What happens if a payment is missed or late?
If a payment fails due to a lack of funds, a $20 penalty is charged, and the resident will receive a formal breach notice.
Are there delays with certain payment methods?
Residents using bank transfers should allow three to five business days for the funds to be reconciled and reflected in their account balance.
Cancellation Policy
Who is eligible to cancel their Residential Agreement?
Eligibility is limited to domestic first-year students who are not accepted into their chosen university or who accept an offer at a different institution. It also applies to international students who fail to secure an Australian student visa.
What are the deadlines for domestic student cancellations?
Domestic students must submit their cancellation request within five days of the tertiary admission centre (UAC/VTAC/QTAC/TISC) Main Round offer release, typically occurring in late January.
Are there specific restrictions for international students?
Yes. International students must provide notice of a visa denial within five days of receiving it. Furthermore, this must occur at least 14 days before the contract start date to qualify for the exemption.
What documentation is required to process a cancellation?
The resident must provide written notice via email along with official evidence, such as a letter of rejection from the university or admission centre, or a formal visa denial notice from the Department of Home Affairs.
How are refunds handled?
If the cancellation occurs before move-in, the security deposit and most upfront fees are returned. If the resident has already moved in or the contract has started, they are responsible for rent until they vacate. Application, registration, and cleaning fees are always non-refundable.
Are there situations where cancellation is not permitted under this policy?
The policy does not apply if a resident decides to defer their studies, withdraws voluntarily after acceptance, or simply changes their mind about the accommodation.
