Payment & Cancellation
Payment Terms
1. Payment to Secure Booking
- A payment is required at the time of booking to secure the room.
- Accepted methods: card or open banking transfer.
2. How Booking Payment is Treated
Scotland
- The booking payment is held as a deposit.
- The deposit is refundable after departure, subject to inspection.
- Rebookers with a full deposit already on their account are not required to pay another deposit.
- The first rent instalment is due on the tenancy start date.
3. Rent Payment Schedule
- Students can select a preferred payment schedule during booking.
- The full payment schedule is available before accepting the rental agreement.
Payments must be made in line with the agreed schedule.
4. Guarantor & Payment Liability
- A guarantor is required (subject to eligibility criteria).
- The guarantor is responsible for any unpaid rent or outstanding balances.
Student Roost will contact the guarantor only if payments are missed. - Failure to provide a guarantor may result in booking cancellation.
5. Dual Occupancy (If Applicable)
- Both residents are jointly liable for rent.
An additional fee applies and must be paid according to the payment schedule.
6. Discounts & Incentives
- Discounts or cashback offers are subject to campaign terms.
- Typically applied to the final rent instalment.
- Prices may vary due to dynamic pricing.
7. What Rent Includes
Rent includes:
- Utility bills
- Internet
- Contents insurance
- Access to communal spaces
- Maintenance service (excluding resident-caused damage)
- Parcel service
Rent does not include:
- Laundry usage (where applicable)
- Optional internet or insurance upgrades
Cancellation Policy
Can my booking be cancelled before I check in?
Yes. Your booking may be cancelled if:
- Rent or deposits are unpaid
- A valid guarantor agreement is not provided
- You fail to check in within 14 days of the tenancy start date (unless otherwise agreed)
- You are unable to start or continue your course
Can my tenancy be terminated after I move in?
Yes. Termination may occur if:
- You are no longer a full-time student in the UK
- You engage in criminal or anti-social behaviour
- You breach the tenancy/occupation agreement
- Rent remains unpaid after 14 days
Termination does not remove liability for unpaid rent or contractual obligations.
What is the cooling-off period?
You may cancel for a full refund of deposits and payments if you cancel:
- Within 3 days of accepting your agreement
- Within 24 hours if your booking is made on or after 1 August
The cooling-off period ends once you collect your keys.
What happens if I cancel after the cooling-off period?
You remain liable for rent for the full tenancy term, unless:
- You meet the Cancellation Criteria, or
- You provide a suitable replacement tenant/contract holder
What qualifies as a replacement tenant?
The replacement must:
- Be a student
- Meet the property’s accommodation preferences
- Have no outstanding arrears
- Sign the agreement for the remaining tenancy period
A £50 tenancy takeover fee applies.
Takeovers are only permitted until 31 May of the academic year.
When can I cancel without penalty?
Cancellation may be approved under the following Cancellation Criteria:
- Visa refusal (application declined, not later revoked)
- Academic failure (required grades not achieved; no longer a student)
- Exceptional circumstances, including:
- Serious medical conditions
- Bereavement
- Other qualifying ANUK/Unipol Code grounds
What evidence is required?
Official supporting documents from relevant authorities, such as:
- UCAS
- Visa authorities
- Universities or recognised institutions
How do I request cancellation under these criteria?
Submit your request via email or written notice. Include all required supporting evidence.
When does my liability end if cancellation is approved?
- Before the tenancy start date → Release applies from the tenancy start date (after approval)
- After the tenancy start date → Release applies 4 weeks after evidence approval
- Rent remains payable until the release date
Will my deposit be refunded?
Yes. The damage deposit will be returned minus:
- Any unpaid rent
- Charges for room/flat damages
What situations do NOT qualify for cancellation?
- Completing exams or the academic year early
- Change of mind
- Single-semester courses
- Online study
- Choosing to commute
In these cases, you must find a replacement tenant.
