What is the purpose of the booking fee?
The booking fee is a mandatory payment used to reserve the room. Once the move-in date arrives, this fee is automatically converted into a security deposit.
How is the deposit protected?
The security deposit is registered with the Deposit Protection Service (DPS). This is an independent, government-approved body that holds the funds securely throughout the tenancy.
When and how is the deposit returned?
After the tenancy ends and the room is inspected for damages, the deposit is returned. Provided there is no damage and no unpaid rent, the funds will be released within 10 working days of the final agreement, as long as the tenant has registered their bank details with the DPS.
Is the booking fee ever refundable?
If the booking is cancelled within the first 14 days of payment, a full refund is issued. After this 14-day window, the fee is non-refundable.

What is the process for securing a room?
A holding deposit must be paid to reserve the accommodation. Following this payment, there is a 14-day deadline to complete and sign the Tenancy Agreement.
Can the booking be cancelled after the deposit is paid?
Yes. A "cooling-off period" allows for a full refund if the cancellation is made within 14 days of receiving the offer. If the booking is made very close to the move-in date, this window may be shortened to three days before check-in.
What happens if the cooling-off period has expired?
If the deadline has passed, the holding deposit will not be refunded. Furthermore, the tenant and their guarantor will be legally responsible for the full terms of the contract, including rent payments.
Under what conditions can the holding deposit be withheld?
The deposit may be retained if the applicant provides false information, fails to provide guarantor documents in a timely manner, or does not meet UK immigration requirements.
Are there exceptions for students who cannot attend university?
A tenant may be released from their contract if they provide proof of a visa denial or a university rejection due to grades. This evidence must be submitted within 72 hours of the tenant receiving it.
Can a tenant move out before the contract ends?
To leave early, the tenant must find a replacement student to take over the lease. The new tenant must be a full-time student and provide a guarantor. A £50 administrative fee is charged to the outgoing tenant, and they remain liable for rent until the new tenant officially moves in.
Can the landlord cancel the booking?
Management may cancel the reservation if the contract is not signed within 14 days of the offer or if the tenant does not show up for check-in.
