Payment Terms
Is a security deposit required?
Yes. A security deposit equivalent to two months' rent is required and must be paid to the third-party account of the property manager, Upgrade Estate Group.
How do I pay my rent?
Payment terms depend on your contract type:
Regular contracts: Rent and charges are paid monthly.
International contracts: Rent and charges for the entire academic year must be paid upfront in a single payment.
Are there any additional charges not included in the rent?
Yes. The following charges are not included in the rent:
Check-in/check-out inspection fee: €85 for rooms without a kitchenette or €125 for rooms with a kitchenette.
Monthly utility and service charges: Electricity, gas, water, waste disposal, and internet.
What payment methods are available?
Payments are managed through a personal online payment page.
Students from SEPA countries can pay using their existing bank account or a Belgian bank account.
Students from non-SEPA countries may be required to open a Belgian bank account.
When will my security deposit be refunded?
Your deposit will be refunded within 3 months after the end of the tenancy, provided all contractual obligations have been met.
Any deductions for damages, unpaid rent, or other outstanding obligations will be deducted before the refund is issued.
Cancellation Policy
How do I cancel my housing application?
All application cancellations must be submitted by email.
Can I cancel my application free of charge?
Yes. Cancellation is free of charge until the Housing Office grants your application, which is confirmed by email and/or the tenancy agreement.
What happens if I cancel after my application has been granted?
If you cancel after the Housing Office has granted your application, an administrative fee of €100 will be charged.
For non-regular students/non-regular applicants, an additional charge of two weeks’ rent applies if the cancellation is made less than two weeks before the start of the rental period.
Are there any exceptions to the cancellation charges?
Yes. The charges do not apply if you do not meet the eligibility requirements to rent accommodation for the academic year for which you applied.
What happens if I do not return my tenancy agreement?
Failure to return the tenancy agreement within 7 calendar days of receiving it is treated as a cancellation and will result in an administrative fee of €100. No exemptions apply in this case.
What happens if I do not arrive for my booking?
For non-regular students/non-regular applicants, a no-show is treated as a cancellation.
In this case, you will be charged:
An administrative fee of €100, and
Two weeks’ rent.
No exemptions apply to no-show cancellations.
