Payment Terms
Standard Tenancy Payments
The specific schedule for rent instalments, including total amounts and due dates, is detailed within the individual tenancy contract signed at the time of booking.
Summer Bookings
For short-term stays (up to 10 weeks), the following conditions apply:
The total balance must be paid in full prior to arrival.
A booking is only confirmed once full payment is received; rooms are not held without payment.
No security deposit is required for summer stays.
Cancellation Policy
Cooling-Off Period
The duration of the cooling-off period depends on the date the tenancy agreement is signed:
Bookings before August 1, 2026: A 7-day cancellation window applies from the time of contract execution.
Bookings on or after August 1, 2026: A 24-hour cancellation window applies from the time of contract execution.
In both instances, the cooling-off period terminates immediately if the resident collects the keys or checks into the property. To cancel within these timeframes, written notice must be emailed to the specific residence’s email address. Eligible cancellations will receive a full refund of the deposit and any advanced rent within 30 days of receipt.
Cancellations After the Cooling-Off Period
Once the cooling-off period expires, a resident may only cancel the agreement without finding a replacement under specific "Permitted Reasons." If a cancellation is approved under these terms, the deposit is returned, but the advanced rent remains non-refundable.
Permitted Reasons Include:
Academic/Visa Issues: Failure to meet university grade requirements (No Place No Pay) or the refusal of a student visa.
Course Changes: Cancellation of a required pre-sessional English course.
Deferrals: Delaying university entry until the 2027-28 academic year.
Relocation: Moving to a university in a city where this provider does not operate.
Requirement for Proof: Official documentation (e.g., UCAS letters, visa refusal notices, or university correspondence) must be submitted via email to validate these claims.
Failure to Occupy and Post-Move-In Terms
Failure to check in does not terminate the contract; the resident remains liable for all rent and associated fees. Once the resident has moved in, a tenancy release is only considered for medical withdrawals from the university. This requires officially signed letters from both the university and a medical professional.
Exclusions: A release will not be granted for voluntary withdrawals, financial issues, academic failure, or disciplinary dismissals. If a medical release is granted, the deposit is returned minus any damages or arrears, but advance rent is not refunded.
Tenancy Takeovers
For any reason not listed above, the resident must secure a replacement student to take over the contract.
Takeovers must be finalised before May 1, 2027.
The replacement must be a student who is not a current or prospective resident of the provider and must fit the specific room preferences (e.g., gender-specific flats).
An administrative fee of £200 applies.
The original resident is responsible for rent until the new tenant signs the agreement, their cooling-off period ends, and their tenancy begins.
