Payment & Cancellation
Payment Terms
What is the Advanced Rent Payment?
The Advanced Rent Payment is a £200 payment made before 1st August to reserve your room. Once it is received and your agreement is signed, your room will be held for you (subject to availability).
Is the Advanced Rent Payment a deposit?
It acts as an advance payment towards your rent rather than a traditional deposit. It will later be deducted from your rent once your tenancy begins.
What happens after I make the Advanced Rent Payment?
Once both your payment and signed agreement are received, your booking becomes a confirmed (firm) reservation. Your room will then be secured for you.
Can I lose my room after signing the agreement?
Yes. If rooms become limited, priority is given to fully confirmed bookings (signed agreement + Advanced Rent Payment). If you have only signed the agreement but not paid, your booking may not be secured.
What happens if my booking is not confirmed?
If your booking cannot be confirmed due to lack of availability, your agreement will be cancelled and you will be notified in writing. Any eligible payments will be handled according to their policy.
How can I pay my rent or fees?
You can pay using:
UK bank transfer
International bank transfer
Debit or credit card (via student portal)
Direct debit (UK bank accounts only)
How long do bank transfers take?
UK bank transfers: up to 5 working days (faster payments take 1 working day)
International transfers: up to 10 working days
Always include your name, room type, and location as a reference and send proof of payment to the accommodation team.
Can I pay by card?
Yes. Card payments can be made through the student portal, which is available 24/7.
Available for international card holders
A processing fee may apply (shown before payment confirmation)
Do UK students have different payment options?
Yes. UK bank account holders can:
Set up a direct debit via the portal
Pay via bank transfer
Use debit/credit card over the phone or portal
Cancellation Policy
How do I cancel my booking?
Cancellation is only valid upon receiving a written notice by email, along with any required supporting details. Your cancellation is not confirmed until you receive written approval from Study Inn.
Can I cancel a block booking?
Block bookings can only be cancelled at the discretion of Study Inn. All payments due under block bookings remain payable and are non-refundable unless Study Inn confirms otherwise in writing.
Can I cancel an individual room booking before my contract starts?
Yes, but conditions apply:
Up to 19 weeks before the start date:
You may cancel your agreement by giving written notice. Any payments made will be refunded in full, and no agreement fee will be transferred.
Less than 19 weeks before the start date:
You cannot cancel unless a replacement occupier is found.
If no replacement is found, you remain liable for the full contract cost.
If a replacement is found, you will be released from the agreement from the new occupier’s start date. A £50 transfer fee applies and will be deducted from your payments. Any discounts previously applied will no longer be valid.
What happens if I cancel after my tenancy has started?
Once the licence period has started, you cannot normally cancel. You will only be released if you find a replacement occupier.
If no replacement is found, you remain responsible for the full rent.
If a replacement is found, your contract will end when their agreement begins. A £50 transfer fee applies, and you may lose any discounts previously applied.
You may also be responsible for any agent commission if Study Inn uses an agent to find a replacement.
Are there any special circumstances where I can cancel?
Yes, cancellations are allowed in the following cases (with proof and written notice required at least 14 days before the start date):
Visa refusal: If your visa is declined and you cannot enter the UK.
University rejection: If your university application is declined and you cannot study in the UK.
In both cases:
A £50 transfer fee will be deducted
The remaining balance will be refunded
You will be released from the agreement
Can I cancel storage charges?
Storage bookings (where applicable, usually in bedrooms for re-bookers only) are subject to separate terms under the agreement and may not be refundable depending on conditions.
The above cancellation policy is a synopsis of the property’s cancellation policy. There could be a few changes incorporated from time to time. Hence, we recommend you review the full Accommodation Contract for a comprehensive understanding of their cancellation policies.
