Payment & Cancellation
Payment Terms
Paying for your accommodation can be easier during Clearing, with some properties offering 9 or 10 instalments instead of paying everything upfront. Just keep in mind that payment options can vary by property.
Deposit
To apply for and book a flat or bedroom, you must pay a £100 reservation fee (herein referred to as 'Reservation Rent'). The breakdown of this payment is as follows:
- £50 for re-bookers (students already living with us who are renewing)
- £100 for direct let bookings (all new applicants)
Payment Options
The following payment options for your accommodation fees:
- One full payment
- Four instalments
Instalment Payment Details
To pay in instalments, you must provide proof of a UK-based guarantor. If you do not have a UK-based guarantor, you can still opt for instalment payments, but a 5% upfront fee will be applied to your total accommodation fees.
First Instalment Due Date
The first instalment, equivalent to 4 weeks' rent, is due before your tenancy start date. A larger second instalment is due at the end of September.
Payment Dates
All payment dates are clearly outlined in your tenancy agreement. Typically, a portion of your rent is due at the beginning of August.
Consequences of Late Payment
If we do not receive your first rent instalment by your tenancy start date, your booking may be cancelled, and you will not be able to collect your key.
UK Guarantor Requirements
A UK guarantor must meet the following criteria:
- Be over the age of 25
- Have a fixed address in the UK
- Provide proof of address and photo ID
Options Without a Guarantor
If you do not have a UK guarantor, you can choose to:
- Pay in full upfront without the need for a guarantor
- Pay in instalments with a 5% upfront fee on your total accommodation fees
Legal Obligations
Your contract with Collegiate is legally binding. If you leave before the contract period ends, you will not receive a reduction in rent.

Cancellation Policy
Advance Rent: £50 for re-bookers and £100 for new direct-let applicants, payable when booking online.
3-Day Booking Rule: The Tenancy Agreement must be signed within 3 days. Cancelling within this period gives a full advance rent refund; after 3 days, we retain it and credit it towards the first rent instalment once the agreement is signed.
Cancellation Due to University or Visa Issues: Yes. You must give written notice within 7 days, with official supporting evidence received by 30 August. If the conditions are met, an advance rent and rent paid will be refunded.
Ending Tenancy: With 4 weeks' written notice and supporting evidence for withdrawal, exclusion, refusal of admission, or illness causing an absence of more than 60 days where studies are suspended.
Exceptional Circumstances and Replacement Tenants: Requests are considered case-by-case at the accommodation's discretion. A suitable replacement tenant must enter a tenancy agreement on acceptable terms.
Cancellation by Accommodation: Suitable alternative accommodation will be offered where possible. If unsuitable, any advance rent and rent already paid will be fully refunded.
Refund Processing Time: Normally within 14 days of receiving all required supporting evidence.
Effect on Statutory Rights: No. The policy should also be read alongside the Tenancy Agreement and applicable ANUK/Unipol National Code.
